B2blix AI terms of service

These additional terms govern the use of the B2BLIX AI Feature by business customers, covering availability, account access, AI providers, data processing, customer responsibilities, output limitations, usage-based charges, included allowances, acceptable use, retention, suspension, and related legal matters.


1. Introduction and relationship to the General Terms

These Terms of Service for B2BLIX AI (the “Additional Terms”) govern access to and use of the artificial intelligence functionality made available through the B2BLIX Platform (the “AI Feature”).

The AI Feature is provided through the B2BLIX Platform by SaaS Factory OÜ, registry code 16191717 (“B2BLIX”, “we”, “us”, or “our”).

These Additional Terms supplement and form part of the B2BLIX General Terms of Service (the “General Terms”). Capitalized terms not defined in these Additional Terms have the meanings given to them in the General Terms.

The General Terms, Privacy Policy, applicable Subscription Plan, current pricing information, and any other terms expressly applicable to the Customer continue to apply.

If these Additional Terms conflict with the General Terms concerning the AI Feature, these Additional Terms apply to the extent of that conflict. The General Terms continue to govern all other matters.

The AI Feature may be enabled and made available automatically without separate activation or separate acceptance. These Additional Terms apply when the AI Feature becomes available through the Customer’s account and whenever the Customer or an Authorized User accesses or uses it.

For existing Customers, continued access to or use of the Platform after these Additional Terms take effect constitutes acceptance in accordance with the General Terms. A Customer that does not agree to these Additional Terms must not use the AI Feature.

2. Availability and scope of the AI Feature

The AI Feature is a business-to-business assistance function intended to help Customers understand, operate, configure, and troubleshoot the B2BLIX Platform and the Services made available through it.

The AI Feature may provide assistance concerning:

  • general questions about the B2BLIX Platform;
  • activated Services and their available functionality;
  • Documentation, instructions, settings, workflows, reports, products, and account information;
  • interpretation and explanation of data available through the Customer’s account;
  • configuration and troubleshooting guidance;
  • navigation within the Platform; and
  • other B2BLIX-related matters supported by the AI Feature from time to time.

The AI Feature may support current and future Services without requiring separate AI-specific activation for each Service.

The AI Feature is not a general-purpose artificial intelligence service. It is intended for questions, instructions, and assistance relating to B2BLIX, the Platform, the Customer’s account, and the Customer’s activated Services.

We may decline, restrict, redirect, or refuse requests that are unrelated to B2BLIX or that cannot be appropriately processed through the AI Feature.

3. Active subscription requirement

An account may be created without activating a paid Service, but access to the AI Feature requires at least one active Subscription Plan or other eligible paid Service associated with the Customer’s organization.

If the Customer has no active eligible Subscription Plan, the AI Feature may be unavailable or may display a notice requiring the Customer to activate a Service before submitting requests.

Cancellation, expiry, suspension, or termination of the Customer’s last active eligible Subscription Plan will normally disable access to the AI Feature.

If the Customer maintains another active eligible Subscription Plan, access may continue subject to the allowances, charges, limitations, and account status applicable to the remaining Subscription Plan.

4. Organizations, Authorized Users, and account access

The AI Feature operates within the Customer’s B2BLIX organization. Authorized Users use the AI Feature on behalf of the organization and may request information associated with that organization.

The Customer is responsible for:

  • deciding which individuals may act as Authorized Users;
  • granting, reviewing, and removing user access;
  • ensuring that each Authorized User is permitted to access the organization’s information;
  • all requests, instructions, and actions submitted through its Authorized Users; and
  • protecting information displayed or generated through the AI Feature.

The AI Feature is intended to retrieve only information available within the authenticated Customer organization and the applicable Service context.

An AI response may contain non-public business, operational, commercial, product, or account information belonging to the Customer. The Customer must ensure that such responses are accessed, used, stored, copied, and disclosed only by appropriately authorized persons.

The Customer must promptly remove an Authorized User’s access when that individual is no longer permitted to access the Customer’s organization or Customer Data.

5. Operation of the AI Feature

The AI Feature operates primarily as a request-and-response assistance function. It processes a request submitted by an Authorized User and produces a response based on the information and capabilities available at that time.

The AI Feature does not independently monitor the Customer’s business, make business decisions for the Customer, or take action merely because information is available in the Customer’s account, unless a separate Platform function expressly states otherwise.

At the effective date of these Additional Terms, account tools made available to the AI Feature are intended primarily to retrieve, inspect, and analyze information. The AI Feature is not intended to modify account settings or submit transactions unless the Platform expressly makes such functionality available.

The AI Feature may perform several technical operations while preparing one response, including:

  • processing the Customer’s request and conversation context;
  • searching B2BLIX Documentation and knowledge resources;
  • retrieving relevant information from the Customer’s authenticated account;
  • using one or more artificial intelligence models;
  • processing model-generated requests for available account tools;
  • combining the available information into a response; and
  • applying safety, security, relevance, and usage controls.

The capabilities, tools, models, data sources, and processing sequence available to the AI Feature may vary between Services, pages, Customers, Subscription Plans, languages, and requests.

6. Information processed for AI responses

To provide a response, B2BLIX and its subprocessors may process and transmit information that is reasonably relevant to the request.

Depending on the request and the part of the Platform being used, this information may include:

  • the Authorized User’s prompt, question, instruction, or other submitted content;
  • previous messages and responses within the same AI conversation;
  • the current Platform page, page title, Service context, language, and navigation context;
  • B2BLIX Documentation, help articles, instructions, and other knowledge resources;
  • relevant Customer Data and account information returned through available account tools;
  • products, settings, configurations, statistics, reports, synchronization information, and statuses;
  • technical and operational information required to process the request;
  • usage information relating to model processing, searches, and tool operations; and
  • feedback and information concerning the quality or usefulness of a response.

The AI Feature does not necessarily receive the Customer’s entire account or all available Customer Data. B2BLIX may select, limit, summarize, filter, or truncate information based on relevance, context size, security controls, technical limitations, and the available tools.

The Customer authorizes B2BLIX and its subprocessors to access, retrieve, transmit, host, transform, and otherwise process this information to the extent reasonably necessary to provide, operate, secure, support, evaluate, and improve the AI Feature and the Platform.

7. Third-party artificial intelligence providers

B2BLIX may use third-party artificial intelligence, cloud, search, hosting, monitoring, and infrastructure providers to operate the AI Feature.

Artificial intelligence providers may include OpenAI, Google and its Gemini models, Anthropic and its Claude models, and other providers selected by B2BLIX.

B2BLIX may add, remove, replace, or use different providers or models without obtaining separate consent for each change, subject to the General Terms, Privacy Policy, applicable law, and any notice requirements that apply to a material change.

A request may be processed by one or more providers. Information transmitted to a provider may include the prompt, conversation history within the relevant chat, Platform context, relevant Documentation extracts, and relevant account data required to answer the request.

Third-party providers process information through systems that B2BLIX does not fully control. Their technical functionality, model behavior, service availability, security measures, processing locations, retention practices, and policies may change.

Information about subprocessors, international transfers, and the processing of personal data is provided in the Privacy Policy, any applicable data processing agreement, and other privacy information made available by B2BLIX.

Use of a particular provider, model, version, service tier, or technical configuration is not guaranteed. B2BLIX may route different requests to different providers or models based on availability, performance, language, cost, safety, functionality, or other operational considerations.

8. Credentials and sensitive information

B2BLIX does not intentionally provide stored account passwords, access tokens, authentication headers, or similar authentication secrets to an artificial intelligence provider as account context.

Where account information is retrieved for an AI request, credential and secret fields are intended to be omitted, masked, redacted, or replaced with an indication that a protected value exists.

These safeguards do not permit the Customer or an Authorized User to submit sensitive information directly in a prompt.

The Customer and its Authorized Users must not submit through the AI Feature:

  • passwords;
  • access tokens, API keys, authentication headers, or session credentials;
  • payment-card details or online banking credentials;
  • private encryption keys or recovery codes;
  • credentials belonging to suppliers, marketplaces, stores, or other third parties;
  • information that the Customer is prohibited from disclosing to B2BLIX or an AI provider; or
  • unnecessary personal, confidential, or highly sensitive information.

The Customer is solely responsible for reviewing information before submitting it and for deciding whether the information may lawfully and appropriately be processed through the AI Feature.

Automated masking, filtering, and security controls may not identify every sensitive value, particularly where an Authorized User voluntarily enters the value into an ordinary text field or prompt.

B2BLIX is not responsible for disclosure caused by the Customer or an Authorized User submitting credentials or other prohibited sensitive information contrary to these Additional Terms.

9. Customer instructions and responsibility

The AI Feature responds to prompts and information submitted by Authorized Users. The quality and relevance of a response may depend on the accuracy, clarity, completeness, and context of the request.

The Customer is solely responsible for:

  • the prompts and instructions submitted by its Authorized Users;
  • checking whether a response addresses the intended Customer, Service, synchronization, product, or issue;
  • reviewing the source data, settings, reports, and other information on which a response may be based;
  • independently verifying an answer before relying on it;
  • testing any suggested configuration, formula, mapping, workflow, or corrective action;
  • deciding whether and how to implement a suggestion;
  • monitoring the consequences of changes made after receiving an AI response; and
  • obtaining professional advice where required.

The Customer remains solely responsible for all settings, changes, decisions, publications, submissions, pricing decisions, product information, integrations, and other actions performed by the Customer or its Authorized Users after receiving an AI response.

An AI response does not transfer responsibility for the Customer’s business decisions, legal compliance, account configuration, marketplace activity, pricing, product data, or use of third-party systems to B2BLIX or an artificial intelligence provider.

10. Nature and limitations of AI outputs

AI-generated outputs are probabilistic responses based on the information, instructions, tools, and models available at the time of the request.

Outputs may be inaccurate, incomplete, outdated, misleading, internally inconsistent, unsuitable, or incorrectly interpret the Customer’s question or account data.

The AI Feature may:

  • misunderstand the Customer’s request;
  • omit relevant information;
  • rely on incomplete or delayed account data;
  • confuse similar products, settings, synchronizations, reports, or Services;
  • provide different responses to the same or similar questions;
  • refer to functionality that has changed or is unavailable to the Customer;
  • generate text that resembles content generated for another user; or
  • produce a response that appears confident despite being incorrect.

An AI response is provided as informational assistance and represents only a generated interpretation based on the available information. It is not an authoritative determination of the Customer’s account status, contractual rights, legal obligations, commercial position, or required course of action.

Where an AI response differs from the Platform’s current account records, a signed agreement, applicable Service Terms, the current pricing information, or an official written communication from an authorized B2BLIX representative, the applicable account record or official document takes priority.

The AI Feature does not provide legal, tax, accounting, financial, investment, competition-law, regulatory, employment, cybersecurity, or other professional advice.

11. No authority to bind B2BLIX

The AI Feature is an automated assistance function and is not an officer, employee, legal representative, agent, or authorized decision-maker of B2BLIX.

No AI-generated statement can:

  • amend or waive the General Terms, these Additional Terms, or any other agreement;
  • create a warranty, guarantee, service level, refund right, credit, discount, or compensation obligation;
  • approve a refund, cancellation, claim, complaint, exception, or commercial arrangement;
  • confirm that B2BLIX has accepted a legal notice or contractual amendment;
  • make a binding commitment on behalf of B2BLIX;
  • override current pricing, billing records, account records, or Platform settings; or
  • replace an official decision or written communication from an authorized B2BLIX representative.

A response that appears to make such a commitment is not binding unless it is separately confirmed in writing by a person authorized to bind B2BLIX.

12. Use of AI outputs and intellectual property

As between the parties, the Customer retains its rights in the Customer Data submitted through the AI Feature. B2BLIX and its licensors retain all rights in the Platform, AI Feature, Documentation, software, model configurations, prompts, instructions, tools, interfaces, workflows, databases, articles, content structure, and other B2BLIX intellectual property.

Subject to the applicable agreement and payment of all applicable fees, B2BLIX grants the Customer a limited, non-exclusive, non-transferable, non-sublicensable, and revocable right to use AI outputs for the Customer’s own internal business purposes.

The Customer may copy, store, adapt, and internally share an output within its organization to the extent reasonably necessary for those internal business purposes.

Unless B2BLIX expressly agrees otherwise in writing, the Customer must not:

  • publish or publicly display AI outputs;
  • distribute AI outputs outside the Customer’s organization;
  • sell, license, sublicense, or commercially exploit AI outputs as a separate product or service;
  • present B2BLIX Documentation or AI outputs as the Customer’s own proprietary documentation;
  • use AI outputs to reproduce, compile, or create a substitute for B2BLIX Documentation or support resources;
  • use AI outputs to develop, train, evaluate, or improve a competing product or artificial intelligence system; or
  • remove or conceal applicable intellectual-property or confidentiality notices.

An output may contain or be based on B2BLIX Documentation, content structures, workflows, or other protected materials. The limited internal-use right granted above does not transfer ownership of those underlying materials.

B2BLIX does not guarantee that an output is original, unique, copyrightable, non-infringing, or free from third-party rights. The Customer is responsible for obtaining any rights or permissions required for a use outside the internal-use permission expressly granted in these Additional Terms.

13. Usage measurement and chargeable responses

Use of the AI Feature is usage-based and may result in charges in addition to recurring subscription fees.

A request is chargeable when the AI Feature produces a completed or partial response containing output text. A response may be chargeable regardless of:

  • its length;
  • whether the Customer considers it useful or informative;
  • whether it fully answers the request;
  • whether it contains a refusal, warning, limitation, or request for clarification;
  • whether the Customer follows or relies on it;
  • whether documentation searches or account tools were used; or
  • whether several model-processing rounds were required.

A request that produces no output text because of a technical failure is not charged as a completed AI response. A partial response containing output text may still be chargeable.

Chargeable usage may take into account:

  • the amount of input and output processed;
  • the length of the relevant conversation history;
  • the model or provider used;
  • documentation or knowledge searches;
  • account-data retrieval and other tool operations;
  • the number of technical processing rounds;
  • the complexity of the request and response; and
  • other usage components described in the current pricing information.

Usage may be converted into Actions or another billing unit according to the Platform’s current pricing logic. The number of billing units consumed by one response may vary substantially.

The Platform’s usage records determine chargeable AI usage unless there is a manifest technical error. Technical, provider, reporting, accounting, or payment-processing delays may cause usage to appear after the relevant response was generated.

Current rates, billing units, included allowances, and calculation methods are shown in the Platform or current pricing information and may be changed in accordance with the General Terms.

14. Included monthly AI allowance

Unless the applicable Subscription Plan or current pricing information states otherwise, each active eligible Subscription Plan includes a monthly AI usage allowance.

At the current average level of usage, the allowance associated with one active Subscription Plan is intended to cover approximately 200 average-size and average-complexity question-and-answer interactions per month.

This figure is an estimate, not a guaranteed number of questions. The actual number may be higher or lower depending on the length of the prompt, conversation history, response length, documentation searches, account-tool usage, model selection, processing complexity, and other chargeable operations.

Included allowances are cumulative across the Customer organization’s active eligible Subscription Plans. For example, two active eligible Subscription Plans may provide an estimated combined allowance equivalent to approximately 400 average-size and average-complexity question-and-answer interactions per month.

The current pricing information and Platform records determine the actual allowance and usage. An estimate displayed as a number of questions does not create a fixed per-question price or guarantee that every question will consume the same amount.

Any unused allowance, renewal, reset, expiry, carry-over, or allocation rules are governed by the applicable Subscription Plan and current pricing information.

Usage exceeding the included allowance may be charged according to the applicable Subscription Plan and current pricing information.

15. Spending controls and billing association

AI usage is associated with the Customer’s active Subscription Plan or Plans according to the Platform’s billing logic.

The general spending notifications, soft limits, hard limits, payment controls, and usage controls applicable to the relevant Subscription Plan also apply to chargeable AI usage unless expressly stated otherwise.

A soft limit may result in a warning or notification. A hard limit, failed payment, overdue balance, account restriction, or other billing control may prevent the AI Feature from processing further requests.

Spending controls are convenience features and do not replace the Customer’s responsibility to monitor its usage and charges.

The Customer is responsible for usage generated by every Authorized User within its organization.

16. Service improvement, monitoring, and feedback

Subject to the General Terms, Privacy Policy, and applicable confidentiality obligations, B2BLIX may collect, review, analyze, and use AI conversations, prompts, outputs, feedback, usage records, error information, and related metadata to:

  • provide and support the AI Feature;
  • investigate errors, complaints, security events, and suspected misuse;
  • evaluate response accuracy, quality, relevance, and safety;
  • improve documentation retrieval, account-tool selection, prompts, instructions, and workflows;
  • test and develop new Platform and AI functionality;
  • monitor costs, capacity, performance, and provider quality;
  • prevent fraud, abuse, unauthorized access, and policy violations; and
  • otherwise improve and secure B2BLIX Services.

B2BLIX may use automated and human review where reasonably necessary for these purposes. Access is limited to personnel, contractors, and subprocessors who require the information for an authorized purpose and are subject to appropriate obligations.

Where reasonably practicable, B2BLIX may use aggregated, anonymized, masked, or minimized information for analytics, evaluation, and service improvement.

The Customer may submit ratings, corrections, suggestions, or other feedback. Feedback is governed by the feedback provisions in the General Terms.

17. Conversation history and retention

AI conversations may be stored and displayed within the Customer’s account so that Authorized Users can continue a conversation, review prior assistance, troubleshoot issues, and maintain an operational record.

Conversation history may contain Customer Data and confidential business information. The Customer is responsible for controlling access to its organization and for deciding what information its Authorized Users submit.

B2BLIX may retain AI conversations and related records while the Customer’s account remains active and for the periods reasonably necessary to provide the Platform, maintain billing and audit records, resolve disputes, investigate misuse, comply with law, enforce agreements, maintain security, and operate backups.

When the Customer validly requests deletion of its B2BLIX account, AI conversation history associated with that account will be deleted or anonymized after the applicable retention period, subject to legal, security, billing, dispute, backup, and technical retention requirements.

Deletion from active B2BLIX systems may not result in immediate deletion from backups, logs, or third-party provider systems.

Third-party artificial intelligence and infrastructure providers may retain or process information according to the technical settings, agreements, policies, and legal obligations applicable to their services. B2BLIX does not control every aspect of a third-party provider’s independent systems or deletion processes.

Additional information about retention and personal-data processing is provided in the Privacy Policy and any applicable data processing agreement.

18. Acceptable use and AI-specific restrictions

In addition to the restrictions in the General Terms, the Customer and its Authorized Users must not use the AI Feature to:

  • submit unlawful, infringing, fraudulent, deceptive, abusive, harmful, or malicious content;
  • obtain information belonging to another customer, organization, or user;
  • circumvent account permissions, access controls, usage limits, spending controls, or security measures;
  • discover, extract, reproduce, or disclose internal prompts, hidden instructions, tool definitions, source code, private endpoints, system architecture, or security mechanisms;
  • test or exploit vulnerabilities without B2BLIX’s prior written authorization;
  • interfere with the operation, availability, integrity, or performance of the AI Feature or Platform;
  • automatically submit excessive requests, scrape outputs, or reproduce the Documentation or knowledge base;
  • use the AI Feature to create or improve a competing service, dataset, documentation product, or artificial intelligence system;
  • impersonate another person or misrepresent the origin or authority of an AI response;
  • use an AI response as evidence of an official B2BLIX commitment when no authorized written confirmation exists;
  • submit credentials or prohibited sensitive information;
  • use the AI Feature primarily for unrelated general-purpose queries; or
  • encourage, assist, or enable another person to perform a prohibited activity.

B2BLIX may monitor usage, restrict request volume, limit functionality, refuse requests, remove access, suspend processing, or investigate suspected misuse where reasonably necessary to protect B2BLIX, the Platform, Customers, providers, third parties, or the public.

19. Third-party dependency and availability

The AI Feature depends on third-party models, APIs, hosting providers, search systems, network connections, and other technical services.

The AI Feature may be delayed, restricted, degraded, unavailable, or produce an incomplete response because of:

  • provider downtime, errors, rate limits, or policy changes;
  • model changes or differences between model versions;
  • capacity limits or unusually high usage;
  • maintenance, updates, or security controls;
  • account-tool or Documentation-search failures;
  • Customer account restrictions or missing permissions;
  • conversation or context-size limits;
  • internet, hosting, infrastructure, or integration failures; or
  • other circumstances outside B2BLIX’s reasonable control.

B2BLIX does not guarantee that a particular model, provider, tool, document, response format, response time, language, or capability will remain available.

No service level, guaranteed response time, guaranteed answer length, or guaranteed availability applies to the AI Feature unless expressly agreed in writing.

20. Service-specific warranty disclaimer

To the fullest extent permitted by applicable law, the AI Feature and all AI-generated responses, explanations, recommendations, summaries, interpretations, searches, retrieved information, and other outputs are provided “as is” and “as available”, with all faults and without warranties of any kind.

Without limiting the General Terms, B2BLIX does not warrant or guarantee that:

  • an AI response will be accurate, complete, current, reliable, lawful, unique, or suitable;
  • the AI Feature will correctly understand the Customer’s request;
  • the correct account record, product, report, synchronization, setting, or Service will be identified;
  • the AI Feature will retrieve all relevant information;
  • an answer will be consistent with a previous or later answer;
  • an output will be free from errors, omissions, bias, or third-party material;
  • an output will meet the Customer’s requirements or produce a particular result;
  • the AI Feature will be uninterrupted, secure, timely, or error-free;
  • a provider will retain or delete information within a particular period;
  • an output will be copyrightable, original, non-infringing, or available for public use; or
  • use of an output will prevent loss, error, account restriction, incorrect pricing, failed publication, or another adverse consequence.

The Customer accesses and uses the AI Feature and all outputs entirely at its own risk.

21. Service-specific limitation of liability

Without limiting the exclusions and limitations in the General Terms, B2BLIX is not responsible or liable for:

  • decisions made or actions taken based on an AI response;
  • incorrect settings, pricing, product information, mappings, rules, or configurations implemented by the Customer;
  • losses caused by an inaccurate, incomplete, delayed, or misunderstood response;
  • failure to review, verify, test, or supervise an AI recommendation;
  • submission of credentials or sensitive information by the Customer or an Authorized User;
  • unauthorized access resulting from the Customer’s user-access decisions or credential security;
  • third-party provider acts, omissions, model behavior, retention, outages, or policy changes;
  • loss of data, sales, revenue, margin, profit, opportunity, goodwill, or reputation;
  • marketplace, supplier, store, integration, or other third-party action taken after the Customer follows an AI response; or
  • the Customer’s public distribution or other unauthorized use of an AI output.

The liability exclusions, aggregate liability cap, claim limitations, indemnification obligations, and other risk-allocation provisions in the General Terms apply fully to the AI Feature.

22. Restriction, suspension, and deactivation

B2BLIX may restrict, suspend, or deactivate the AI Feature where:

  • the Customer has no active eligible Subscription Plan;
  • a spending limit, usage limit, or billing restriction has been reached;
  • payment is overdue, declined, disputed, or unavailable;
  • the Customer or an Authorized User breaches these Additional Terms or the General Terms;
  • usage creates a security, legal, technical, provider, or operational risk;
  • B2BLIX suspects fraud, abuse, unauthorized access, or an attempt to extract protected information;
  • a provider restricts or discontinues required functionality;
  • B2BLIX is required to do so by law or a competent authority; or
  • restriction is otherwise permitted under the General Terms.

Restriction or deactivation of the AI Feature does not automatically terminate the Customer’s Platform account or any other active Service.

Deactivation does not remove fees already incurred or affect provisions intended to survive termination, including provisions concerning payment, intellectual property, confidentiality, disclaimers, liability, indemnification, retention, and dispute resolution.

23. Amendments

B2BLIX may update these Additional Terms, the AI Feature, providers, models, usage units, allowances, pricing, functionality, limitations, and technical requirements in accordance with the General Terms.

Material changes will be communicated through the Platform, by email, or by another reasonable method.

Continued use of the AI Feature after updated Additional Terms take effect constitutes acceptance of the updated Additional Terms.

If the Customer does not agree to an update, it must stop using the AI Feature before the update takes effect.

24. Governing law and dispute resolution

The governing-law, jurisdiction, negotiation, and dispute-resolution provisions in the General Terms apply to these Additional Terms and the AI Feature.
